Automating your business, the questions people ask

The questions asked in meetings over the past two years, with the answers I actually give. Updated 20 September 2026.

What does business automation actually mean?

It means handing a system the tasks you redo identically every week: chasing an unanswered quote, confirming tomorrow's appointment, republishing content, answering a question you get ten times a month, filing an invoice.

The system works inside the tools you already use. It replaces neither your calendar nor your inbox nor your invoicing software, it makes them talk to each other.

Anything requiring judgement stays with you.

Who is it for?

Freelancers and companies under twenty people, with no IT department, losing several hours a week to admin and follow up.

The seven systems running today serve a local media outlet, a therapist, a construction company, a food truck, a dental practice and a training organisation. None had in house technical skills.

What gets automated first?

Whatever recurs most and costs you a client when forgotten: quote follow ups, appointment confirmations, answers to common questions, content publishing, payment tracking.

The first piece must show results within a week.

What does it cost?

It depends on how many tasks are automated and how many tools must be connected. There is no price list.

The structure is always the same: a one off setup, then a maintenance subscription covering hosting, monitoring and fixes when a tool changes its behaviour.

Pricing comes after a thirty minute scoping call, never before.

How long until it runs?

A first useful automation goes live in one to two weeks. A full set, with several channels and a dashboard, takes six to eight weeks.

What slows things down is almost never technical, it is access to accounts.

Do I have to change tools?

No. The principle is the opposite: we start from the tools you already use and connect them.

Is an AI agent different from a chatbot?

A chatbot answers in a chat window. An AI agent acts: it reads your information, decides according to rules you set, and does something, like booking an appointment or qualifying a request.

It also answers the phone and WhatsApp, not just a website.

Do I stay in control?

Yes, by design. Every system has an off switch, and anything your clients see goes through validation unless you decide otherwise.

Where is my data?

On your accounts and, when hosted, on a server rented in your name. You own the access and the workflows.

If the collaboration ends, the system stays with you and keeps running.
